Terms of Service
Last updated: 12 October 2026
1. Introduction
Welcome to OurClub. OurClub is a trading name of OurClub Online Ltd, a company registered in England & Wales under company number 17385935. In these Terms of Service, “OurClub”, “we”, “us” and “our” mean OurClub Online Ltd, and these terms form a binding agreement between you and OurClub Online Ltd.
These Terms of Service govern your use of our club management platform. By accessing or using the service, you agree to be bound by these terms. If you do not agree, you may not use the service. OurClub reserves the right to update these terms at any time, and continued use constitutes acceptance of any changes.
2. Accounts
To use OurClub, you must register an account and provide accurate information. You are responsible for maintaining the confidentiality of your credentials and for all activity that occurs under your account. You must notify us immediately of any unauthorised use. We reserve the right to suspend or terminate accounts that violate these terms or are used for fraudulent purposes.
3. Use of Service
You agree to use OurClub only for lawful purposes and in accordance with these terms. You shall not misuse the platform, interfere with its operation, or attempt to gain unauthorised access to any part of the system. We grant you a limited, non-exclusive, non-transferable licence to access and use the service for your internal club management needs.
4. Payments and Payment Services
OurClub is a software platform. OurClub is not a bank, payment institution, money services business, or provider of payment services, and does not hold, receive, transmit, or process member funds. All payment services made available through OurClub are provided by Stripe Payments UK, Ltd. and its affiliates (“Stripe”), which is authorised and regulated by the Financial Conduct Authority. By using the payment features of OurClub, your club enters into a direct agreement with Stripe under the Stripe Connected Account Agreement and Stripe Services Agreement, and is solely responsible for complying with those terms.
OurClub provides software that helps your club configure subscriptions, apply discounts, issue refunds, and reconcile transactions initiated and settled by Stripe. Stripe charges members, holds funds during settlement, and pays out to your club's connected bank account on Stripe's standard payout schedule. OurClub does not store full card details; card data is collected and stored by Stripe in accordance with PCI-DSS requirements.
Certain features of OurClub require payment of a platform fee. All fees are quoted in GBP and are subject to applicable taxes. You do not pay OurClub directly for the standard platform fee: each time a member pays your club via Stripe Connect, Stripe automatically deducts OurClub's application fee from the transaction and pays the remainder to your club's bank account on Stripe's standard payout schedule. Platform fees are therefore collected at source from your payouts. You do not receive a separate invoice from OurClub for regular transactions. The platform fee applies to transactions from the outset and is deducted at source from your Stripe payouts.
The application fee is calculated using a marginal tiered structure. Volume is measured as the total Stripe Connect revenue processed through your club over the previous 60-day rolling window, divided by two to produce a monthly-equivalent figure. The rate ladder applied to your club is determined solely by the timestamp at which your club registered with OurClub, measured in Coordinated Universal Time (UTC). The date on which your club launched, or first processed a payment, has no bearing on which ladder applies.
Clubs whose registration timestamp is before 00:00 UTC on 1 November 2026 are charged on the founding ladder below, and retain it for the lifetime of their account. The following rates are applied to each band of the monthly-equivalent figure:
| Monthly-equivalent volume band | Marginal rate |
|---|---|
| £0 – £1,000 | 3.25% |
| £1,000 – £2,500 | 3% |
| £2,500+ | 2.75% |
Clubs whose registration timestamp is at or after 00:00 UTC on 1 November 2026 are charged on the standard ladder below, applied in the same marginal manner:
| Monthly-equivalent volume band | Marginal rate |
|---|---|
| £0 – £1,000 | 4.25% |
| £1,000 – £2,500 | 4% |
| £2,500+ | 3.75% |
OurClub recalculates your blended application fee percentage from the bands of your ladder once per day and pushes the updated value to your live Stripe subscriptions. As your rolling volume grows, your blended rate falls automatically, to a minimum of 2.75% on the founding ladder or 3.75% on the standard ladder. As rolling volume falls, your blended rate may rise, up to the headline rate of 3.25% or 4.25% respectively. Automatic rate changes do not require any action from you and are not a variation of these Terms; the tier ladders, the registration-date rule and the rolling window themselves form part of these Terms and any changes to them will be communicated under section 10.
OurClub reserves the right to override your automatically calculated rate by individual commercial agreement (for example, a fixed friends-and-family rate, an introductory promotional rate, or a manually pinned rate). Where such an override is in effect, the daily automatic recalculation is paused and your platform fee remains at the agreed value until the override is removed.
The banded application fee described above is the only platform charge. It is deducted at source by Stripe Connect from each transaction processed through your club, so OurClub never issues you a separate platform-fee invoice. There is no minimum monthly fee and no minimum spend. All product features are included at no extra charge; there are no optional paid add-ons.
You are responsible for keeping your connected Stripe account in good standing and for any sums you owe under these Terms or your agreement with Stripe. We may suspend or restrict your club's access where any amount properly owed to OurClub or to Stripe remains unpaid, where your Stripe account is closed, suspended, or placed under review, or where the service is abused, used unlawfully, or subject to excessive chargebacks or fraud. Where we suspend access, your public pages may show a temporary “unavailable” notice and only your admin team will be able to log in. Resolving the underlying issue restores access.
Any fee or savings figures displayed on our public website (including the savings calculator at /pricing) are indicative only and are not a binding quote. Actual charges are determined by the real Stripe Connect transactions processed through your club, the tier ladder in effect, and any specific commercial agreement we have with you.
5. Termination
Either party may terminate this agreement at any time. You may close your account by contacting support. We may suspend or terminate your access if you breach these terms or if we discontinue the service. Upon termination, your right to use the platform ceases immediately, and we may delete your data in accordance with our data retention policy.
6. Limitation of Liability
To the fullest extent permitted by law, OurClub shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the service. Our total liability is limited to the amount you have paid us in the twelve months preceding the claim. The service is provided "as is" without warranties of any kind, whether express or implied.
7. Club Administrator Responsibilities & Liability
OurClub provides the platform technology; each club operates independently and is solely responsible for its own activities. Club administrators act as independent data controllers for the member data they collect and manage within their club. OurClub acts as a data processor on behalf of clubs, as set out in our Data Processing Agreement.
OurClub is not liable for any actions taken by club administrators that violate member privacy, data protection law, or any other applicable legislation. Club administrators are responsible for ensuring the lawful collection, use, and storage of member data within their club.
Where required by law, clubs must appoint a designated safeguarding lead. For more information, see our Safeguarding Policy.
All users must also comply with our Acceptable Use Policy, which sets out standards for acceptable behaviour on the platform.
8. Mobile Applications
OurClub publishes native applications for iOS (via the Apple App Store) and Android (via Google Play). These Terms of Service govern your use of the OurClub mobile applications in addition to the web platform. By downloading, installing, signing in to, or otherwise using the OurClub mobile applications, you accept these Terms.
Apple App Store users. If you obtain the OurClub iOS application from the Apple App Store, you also acknowledge and agree to Apple's standard Licensed Application End User License Agreement. Where Apple's terms conflict with these Terms with respect to the iOS application, Apple's terms govern. Apple is not a party to these Terms, but is an intended third-party beneficiary with the right to enforce them against you. You represent that you are not located in a country subject to a U.S. Government embargo, or designated by the U.S. Government as a "terrorist supporting" country, and that you are not listed on any U.S. Government list of prohibited or restricted parties.
Payments inside the apps. Membership subscriptions, gradings, shop orders, and any other paid features in the OurClub mobile applications are processed by Stripe Payments UK, Ltd. (the same external payment processor used by the web platform). Payments are made directly to your club via Stripe Connect (see Section 4). The OurClub mobile applications do not offer Apple In-App Purchases or Google Play Billing for physical or membership goods and services consumed outside the application, as permitted by the Apple App Store Review Guidelines and Google Play Developer Programme Policies.
Permissions, push tokens, and on-device storage. The OurClub mobile applications may request access to your device camera and photo library (to upload an avatar), notifications (to receive class reminders, announcements, and messages), and biometric authentication (for quick sign-in). You may decline or revoke any of these at any time via your device settings; declining a permission may limit the corresponding feature but will not prevent core use of the application. Our handling of device data is described in our Privacy & Cookie Policy.
Acceptance on first launch. Before signing in to the OurClub mobile applications for the first time, you must agree to these Terms and our Privacy & Cookie Policy. We record the moment of acceptance on your device. Reinstalling the application is treated as a new registration for the purposes of acceptance.
9. User-Generated Content & Community Conduct
The OurClub platform and mobile applications include features that allow members to publish content directly, such as community posts, comments, reactions, direct messages to other members, announcements posted by club staff, and profile information (display name, biography, avatar). All such content (together, "User-Generated Content") is the responsibility of the member who submits it.
Objectionable content is not tolerated. You must not submit, transmit, or otherwise make available through the service any User-Generated Content that is unlawful, defamatory, harassing, threatening, hateful, sexually explicit, exploitative of minors, infringes intellectual property rights, contains malware, or otherwise violates our Acceptable Use Policy.
Reporting. Every surface that hosts User-Generated Content includes an inline mechanism to flag objectionable content or behaviour for review. We act on reports of objectionable content or abusive users within twenty- four (24) hours by reviewing the report and, where appropriate, removing the content and suspending or terminating the responsible account.
Blocking. Members may block any other member at any time. Blocking a member immediately removes their existing and future content from your feed, conversation list, and search results, and prevents them from contacting you through the service. Blocks are reversible by you at any time from your account settings.
Moderation by clubs. Club administrators may additionally moderate, lock, or remove User-Generated Content posted within their own club according to that club's own community standards. OurClub may, at its discretion, remove any User-Generated Content that violates these Terms or applicable law, and may terminate accounts of repeat offenders without notice.
10. Changes to These Terms
We may revise these Terms of Service from time to time. We will notify you of material changes by posting a notice on the platform or sending an email. Your continued use of the service after changes are posted constitutes acceptance of the revised terms. We encourage you to review these terms periodically.
11. Health and Nutrition Information
