Karate club management software
Kyu grades, dan grades, kata syllabus and licensing - OurClub keeps the whole dojo in order, from white belt registrations to the grading panel, with fees collected automatically and every licence renewal flagged before it lapses.
- 01
Gradings, from 9th kyu to dan
Build your belt syllabus once, record gradings against it, and let every karateka see their current grade and what the next one asks of them. Grading fees collect through the same system as membership.
- 02
Licensing without the ring binder
Track association licences and licence pools, see what expires this term, and chase renewals automatically - no more cross-referencing a spreadsheet before a competition entry.
- 03
Classes for every age group
Little dragons, juniors, seniors and squad - separate timetables, capacities and prices, with the register taken on a tablet at the dojo door.
- 04
Safeguarding as standard
Junior-heavy clubs need guarded communication: messaging between coaches, parents and students runs under role-based safeguarding controls, and policies are published for members to accept.
No monthly fee - one all-in rate from 4.25%
Card and transaction fees included. Every feature and the member app in the box.
Common questions
Can OurClub handle our kyu and dan grading syllabus?
Yes. You define the belt ladder - colours, kyu numbers, dan ranks, whatever your association uses - and record gradings against it. Members see their grade and promotion history in the app, and you can gate Education Centre content by grade.
We license members through our governing body. Does that fit?
Licence tracking is built in: record each member’s licence, manage pooled licences, and get renewals and expiries surfaced before they lapse - useful before competition entries and gradings.
What does it cost for a karate club?
There is no monthly fee. You pay one all-in percentage of what you process - membership fees, grading fees, shop - with card and transaction costs included. A quiet month costs next to nothing.
